So You Can Love The Day

Peace of mind...Having me there will ensure both those getting married, as well as your family and friends enjoy your special day and seamlessly move through the whole experience knowing everything and everyone is being looked after quietly and respectfully and all on queue.

Pre-Wedding Consultation
(1-2 months out):

  • Have an initial meeting to discuss your vision, timeline, and any specific requirements.
  • Receive all vendor contact information.

  • Creation of a detailed wedding day timeline.

Rehearsal Coordination:

  • Coordination of the wedding rehearsal (typically one hour).
  • Instruction for the bridal party, family members, and officiant.

  • Venue Walk-through with a list of everything that needs to be set-up in the AM, as well as a map for location destinations for vendors

  • Collect final payment/gratuities to distribute to vendors on the day of

Wedding Coordination:

  • On-site coordination for up to 10 hours (unless otherwise discussed) on the wedding day.

  • Day-of setup available for last-minute touch-ups, but not a complete setup. Does not include teardown or cleanup. 

  • Management of the wedding day timeline.

  • Point of contact for vendors and guests.

  • Distribution of final payments and gratuities to vendors.

  • Handling of any emergencies or unexpected events.

Potential Tasks

Here’s a checklist of possible setup tasks for the wedding day to help everything proceed without a hitch.

Most of these tasks should ideally be completed the evening prior. The only items that cannot be arranged the night before are those that I will set up based on weather conditions or to maintain freshness.

  • Ensure set up of the tables and chairs according to the seating plan, clean off any debris

  • Double check place settings for the correct number of glassware, cutlery, napkins, plates, etc

  • Place flowers/centerpieces on tables or anywhere they need to be

  • Set up any necessary signage, such as welcome signs and directional signs.

  • Ensure all lighting is turned on and functioning.

  • Pull out and set up bar area (Ice, etc)

  • Coordinate with catering staff to ensure proper set up and timing

  • Arrange seating cards, programs, and favors at each place setting (if not already done)

  • Ensure restrooms are stocked and clean (add bathroom emergency kits)..

  • Confirm with transportation that everyone has been pick up and dropped.

  • Arrange any items needed for the ceremony. (flowers, fans, program, double checking chairs etc).

  • Coordinate with the officiant regarding timing and placement.

  • Arrange the cake table/dessert table and ensure the cake is safely delivered and set up.

  • Prepare the gift table and card box

  • Greet guests

  • Help time the wedding party (entrance & exits)

  • Light Candles/Turn on candles

  • Place wine on tables

  • Fill water pitchers

  • Assemble family/friends for photos

  • & more should you require it!
